NDDOT Starting Salary: $4745/ month
Primary duties associated with this position are as follows:
Process incoming/outgoing mail.
Update postage rates and add postage to postage meter and file report with Office of Management & Budget yearly.
Maintain County, City, Central Office correspondence files and comply with retention schedules.
Records Management Coordinator
Submit payroll changes and change of status forms within required deadlines.
Maintain familiarity to be able to answer questions for employees on various benefits and policies.
Review entries in the time and labor system, correct or assist employees in correct entering procedures and approve time sheets when necessary.
Notify Bismarck of errors in expense reports.
Initial contact person for WSI and RM for general information.
Lead person for bidding hay contracts, handle calls and inquiries, issue all other contracts and Risk Management.
Open bids and complete bid summary sheets.
Complete all contracts in the Contract Management System (CMS).
Generate and enter payment vouchers for district supplies, utility bills, monthly janitorial contracts, etc.
Review, complete, input & final approval on all vouchers.
Prepare receipts for payments made to the Valley City District.
Enter data in the BUS systems and correct entries if needed.
View all entries for accuracy before final bill is issued.
Minimum Qualifications
5 years’ experience performing complex office support, clerical, or secretarial duties that include office coordination responsibilities.
Education that developed and required the use of administrative and organizational skills may substitute for up to 3 years of experience.
Preferred Qualifications:
Experience with Microsoft excel, word, and outlook. Experience with PeopleSoft and Contract Management. Experience with the State of ND procurement process. Business and accounting experience.
